Cold email examples you can adapt, with why each one works

Short cold email examples for agencies, SaaS, freelancers and recruiters, plus a follow-up, each with a note on why it's written that way.

These examples are written for this article, so treat them as patterns to adapt rather than scripts with proven results. Each is short on purpose. Replace every detail with something true about you and your prospect. If you want more to start from, there are 40 in the template library.

1. Agency to a local business

Subject: missed calls after 5pm

Hi {{firstName | there}},

Most HVAC companies I work with lose jobs in the evening, when calls go to voicemail and the customer rings the next name on Google.

We set up a simple way to catch those calls and book the job. Worth a 10-minute look?

{{accountSignature}}

Why it's written this way: one problem they recognise, one line on the fix, one small ask.

2. SaaS to a founder

Subject: invoice chasing

Hi {{firstName | there}},

Does someone at {{companyName}} still chase late invoices by hand?

We built a tool that does it automatically, in your own email tone. Happy to show you in 15 minutes, or send a short video if that's easier.

{{accountSignature}}

Why: founders are busy, so it opens with a yes-or-no question and offers a lighter option than a call.

3. Freelancer to a marketing lead

Subject: your case study page

Hi {{firstName | there}},

I write case studies for B2B software companies. Your page has plenty of customer logos but only two full stories, so I think there's room for more.

Want me to send two samples from similar companies?

{{accountSignature}}

Why: a specific observation (make sure yours is true), and the ask is for permission to send something, not for a meeting.

4. Recruiter to a hiring manager

Subject: your senior backend role

Hi {{firstName | there}},

Saw the senior backend role has been open a while. I place engineers with fintech companies, and I know two people who may fit.

Should I send their profiles over?

{{accountSignature}}

Why: a real trigger, a concrete offer, and a one-word answer is all it needs.

5. Partnership

Subject: {{companyName}} and us

Hi {{firstName | there}},

Your customers and ours look like the same people, and we don't compete. Would it be worth comparing notes on sending each other work?

{{accountSignature}}

Why: nothing to buy, so it stays short and low-pressure.

6. The follow-up

Hi {{firstName | there}}, just bringing this back up. Is this on your list for this quarter, or should I check back later?

Why: it adds an easy way out. People reply to say "later" who wouldn't have replied at all. More in how many follow-ups to send.

What they have in common

  • Under about 75 words, readable on a phone.
  • One problem and one ask.
  • No attachments or images, and few or no links in the first email.
  • They sound like one person writing to another.

The list still matters more than the words. These emails only work because they reach people who have the problem. Paste your draft into the copy grader for a quick check, and read how to write a cold email for the full method.
