No images, no logos, no banners: they add weight and trackers that spam filters dislike. One link at most.

Signatures for cold email.

What the result means, and how to fix what it finds.

01

Plain beats designed

Logos, banners, social icons and photos make your email heavier, add images that load from other servers, and make it look like a marketing email. In cold email, a plain text signature (name, title, company) looks personal and keeps the email light.

02

One link at most

Every link in an email is something filters look at, especially on a new domain. If you include your website, make it the only link in the signature, and keep it out of the first email altogether if the body already has a link.

03

Same on every mailbox

If you send from several mailboxes, give each one the same signature style with that sender's own name. Recipients and filters notice when the sender name and signature don't match.

04

What's legally needed

In the US, commercial email needs your physical postal address. Many cold emailers put it in the signature or a small footer. In the EU and UK, include who you are and how to opt out. Our unsubscribe header generator covers the opt-out part.

05

Details that help

A few small details make a signature more useful. Your job title tells people why you're writing. A phone number helps prospects who would rather call, and costs nothing. Your company's website, written as plain text, lets curious people look you up. Leave out quotes, long disclaimers and badges, which add weight without helping. If you send from several mailboxes on different domains, make each signature match its own domain, so the website in the signature is the one the email came from. Keep it to three or four lines, so the signature never looks bigger than the email. On phones, a short plain signature also loads instantly and never shows broken image boxes. Set the same signature on every mailbox in one go, then check each one by sending yourself a test.

Questions before you start.

Ask us on the chat if yours isn't here. A real person answers.

Should I add my logo?

Not in cold email. Images add weight and look like marketing. Use a plain text signature.

How do I add it to Gmail?

Copy it, then in Gmail open Settings, General, Signature, and paste. For HTML, use the plain preview's copy and paste it into the signature box.

Can I use it in mailzy?

Yes. Each mailbox in mailzy has its own signature setting.
